We seek a dedicated, proactive Donor Services & Administrative Assistant to join our team. This hybrid role combines donor services responsibilities with general administrative support, ensuring smooth daily operations while advancing the Federation’s philanthropic efforts.
The Donor Services & Administrative Assistant will support the Senior Leadership Team, manage donor systems, and help coordinate campaigns, programs, and events. The ideal candidate is organized, detail-oriented, and energized by both people-facing and behind-the-scenes work.

Position Summary
We seek a dedicated, proactive Donor Services & Administrative Assistant to join our
team. This hybrid role combines donor services responsibilities with general
administrative support, ensuring smooth daily operations while advancing the
Federation’s philanthropic efforts.
The Donor Services & Administrative Assistant will support the Senior Leadership Team,
manage donor systems, and help coordinate campaigns, programs, and events. The
ideal candidate is organized, detail-oriented, and energized by both people-facing and
behind-the-scenes work.
Key Responsibilities
Donor Services
• Serve as the first point of contact for donors and the public via phone and email
• Maintain donor management systems (Blackbaud Raiser’s Edge and Financial Edge)
• Enter pledges and update constituent information
• Generate campaign and finance-related reports; produce segmented lists, rosters,
and pledge cards
• Draft and send acknowledgments (thank-you letters, condolence notes, etc.)
• Maintain mass email distribution lists
• Send quarterly B’nai Tzedek balance emails
• Monitor obituaries and death notices to keep records current
• Export donor lists for mailings, solicitations, and partner outreach; export pledge lists

Administrative Support
• Provide high-quality administrative assistance to the Senior Leadership Team
• Manage calendars, scheduling, and meeting logistics (including Zoom support)
• Coordinate staff, board, and committee meetings (agendas, Zoom, action items)
• Respond to Jotform submissions and newsletter/list requests
• Order and maintain office supplies, stationery, and business cards
• Support Federation-wide events and programs with logistics, communications, and
tech needs
Qualifications
• Self-motivated, resourceful, and adaptable in a mission-driven environment
• Proven collaborator with excellent interpersonal skills
• Exceptionally organized and detail-oriented
• Strong computer skills (Office 365, Slack)
• Familiarity with donor CRMs preferred; Blackbaud Raiser’s Edge a plus
• Strong verbal and written communication skills
• Discretion with confidential financial and personal information
• 1–2 years of relevant experience in nonprofit or administrative roles preferred
• Experience with Jewish organizations and knowledge of Jewish culture/traditions
preferred (not required)
• Flexibility to work occasional evenings and weekends
• Bonus: Experience with graphic design tools (e.g., Canva, Adobe)
